Step 2. The payment ledger

“I already paid” — answered before they finish the sentence

Every instalment and every payment with its method, cash to part exchange, and the running balance. Every receipt reference is a link to the printed receipt.

Step 3. When someone falls behind

The morning list, not a Friday report

The ageing ladder shows the whole book, what's overdue and how long for. Click an arrears band and the list filters to exactly those debtors, worst first.

Step 4. The chase-up

Nobody rings a customer who paid last week

Log a call, set a promise to pay, and open the WhatsApp thread from the same pane. Calls, letters, notes and customer replies sit in one feed, so nobody gets forgotten for a month.

Step 5. The signed pack

Everything you sign is numbered and kept

Tick what goes in — HPA invoice, contract, payment schedule, bills of exchange, delivery note, indemnification, LESA appointed driver, insurance proposal — and print one correctly paginated job on your letterhead.

Step 6. The day's banking

Close of business is a button, not an hour

The end-of-day sheet compiles itself from the ledger, by payment method. Add the drawer's ins and outs, print the banking sheet, finalise the day.

Malta-first

Built for the paperwork Maltese dealers actually have

Not a general CRM with Malta bolted on. The forms a showroom prints, the fines it pays on a customer's behalf, the way a salesman signs in — that is the product.

  • Road licence renewals and VRT, per plate

    Renewals, insurance and LESA fines tracked per vehicle as charges on the account, with a printable Notice for Payment for each. Renewal states: to renew, paid, disc collected, do not renew.

  • Receipts, VAT receipts and statements, in euro

    Maltese VAT at 18%. Every receipt reference on the ledger is a link to the printed receipt.

  • LESA fines and the appointed-driver declaration

    A fine flows into the client's ledger as a charge, not a side spreadsheet. The LESA appointed-driver form is part of the signed pack.

  • Salesmen sign in with their ID card

    No email address needed on the showroom floor. Roles per branch decide what each login can see.

  • WhatsApp arrears messages from your own number

    Reminders, statements and two-way conversations on your WhatsApp Business number, using Meta-approved templates. Which template at which arrears band, how often, and quiet hours.

  • Printed on your letterhead, in your words

    The HPA pack prints as one correctly paginated job on your own letterhead, with your clause wording and your fee schedule. Register & Print freezes it as a numbered snapshot.

Security

Your book, in your own database

A dealership lives on its ledger. Here is how it is kept, in plain terms.

  • One Postgres database per dealership

    Your dealership gets its own database and its own deployment. No other dealer's rows are in it — not behind a filter, not in the same table, not at all.

  • Backed up nightly, restored monthly

    Every night, off-site. Once a month the newest backup is restored into a throwaway database and the ledger's invariants are checked — a backup that has never been restored is a hope.

  • Audited daily, locked per login

    A row-level-security audit runs against the live database every day. Two-step verification available for every staff login, a list of every machine the desktop app is installed on, and an audit log of who changed what.

  • Yours to take, gone when you leave

    GDPR done plainly: a full export of your data on request, and your database deleted within 30 days of leaving.

Priced by the book, not the seat.

Plans scale with the number of live agreements you manage, so a single showroom is not paying for a group's seats. One onboarding fee, then a monthly or annual subscription.

All prices exclude VAT. Maltese VAT at 18% is added at checkout; EU businesses with a valid VAT number are reverse-charged. Annual plans are billed up front at ten times the monthly price — two months free.

FAQ

Questions dealers ask

Is DealerPro a general CRM?

No. It is built for vehicle dealerships that sell on hire purchase and lease: the instalment ledger, arrears, collections, the signed document pack and end-of-day banking are the product, not plug-ins. If you sell cash-only, it still works — it is just more than you need.

Who is using it today?

One of Malta's largest dealerships runs its whole book on DealerPro, live, every day. We do not name customers or publish their figures.

Where is our data kept?

In your own isolated database — no other dealership's rows are in it. It is backed up nightly, restore-tested monthly, and deleted when you leave. See the Security page.

Can we bring our existing book across?

Yes. The Group plan includes migration from spreadsheets or your current system. On other plans it is quoted separately once we have seen the data.

Does it send WhatsApp messages?

Yes — arrears reminders, statements and two-way conversations, using your own WhatsApp Business number and Meta-approved templates. Connecting the number is part of onboarding.

Does it work on phones and tablets?

Yes. It runs in the browser on any device; salesmen typically use it on a tablet in the showroom, and there is a desktop app for the office.
