The product
Seven jobs. One book.
Every chapter below is a real part of the product and something it does today. Follow the line, or jump to a chapter.
The client record
Who they are, what they signed, what they have paid, who has spoken to them and every document, on one screen with six tabs.
- Overview, Contract, Payment Ledger, Collections Notes, Documents, Timeline
- The vehicle, the monthly amount, the term and the date signed
- ID scans and signed paperwork attached to the record
Where it lives: Debtors → client
The morning arrears list
The ageing ladder shows the whole book, what is overdue and for how long. Click an arrears band to see those debtors, worst first.
- Total book, total overdue and clickable arrears bands
- Who owes what, how many months, last paid, last contacted
- A focus pane beside the list, so you never leave it
Where it lives: Collections → Receivables
The payment ledger
Every instalment and every payment, with its method and the running balance. Each receipt reference opens the printed receipt.
- Remaining, overdue, monthly, next due, last paid and months in arrears at the top
- Print a receipt, invoice or allocation from any line
- Statements for the month, the year or the whole account
Where it lives: Contract → Instalment account
Chase-ups and promises to pay
Log a call, set a promise to pay and open the WhatsApp thread from the same pane. Calls, letters, notes and replies sit in one feed.
- Calls, SMS, email, visits, letters and notes, all in the client's history
- Promises to pay marked open, done or missed, with add-to-calendar
- Reminder rules: which WhatsApp template at which arrears band, how often, and quiet hours
Where it lives: Collections → Activity · Settings → Reminder rules
Signed packs, numbered and kept
Tick what goes in the pack: HPA invoice, contract, payment schedule, bills of exchange, delivery note, indemnification, appointed-driver declaration and insurance proposal. Print it as one job on your letterhead.
- Register & Print freezes the pack as a numbered snapshot
- Every pack ever issued, with its number, date and issuer, reprintable exactly
- Registered documents can be voided, never edited
Where it lives: Contracts → Print pack
End-of-day banking
The end-of-day sheet is compiled from the ledger by payment method. Add the drawer's ins and outs, print the banking sheet and finalise the day.
- Cash, non-cash and the bank deposit, computed
- Collections and deductables blocks that save as you type
- A finalised day is frozen, so a reprint months later matches what was banked
Where it lives: Financial → End of day
Renewals, insurance and fines per vehicle
Road licence renewals, insurance and fines are tracked per vehicle as charges on the account, each with a printable Notice for Payment.
- Renewal states: to renew, paid, disc collected, do not renew
- Fines and charges go into the client's ledger
- Motor claim forms raised from the contract, pre-filled on the insurer's form
Where it lives: Licences & Insurance · Claims

Questions
Is DealerPro a general CRM?
No. It is built for vehicle dealerships that sell on hire purchase and lease. The instalment ledger, arrears, collections, the signed document pack and end-of-day banking are built in. If you sell cash only it still works, but it is more than you need.
Where is our data kept?
In your own isolated database. No other dealership's rows are in it. It is backed up nightly, restore-tested monthly and deleted when you leave. See the Security page.
Can we bring our existing book across?
Yes. The Group plan includes migration from spreadsheets or your current system. On other plans it is quoted once we have seen the data.
Does it work on phones and tablets?
Yes. It runs in the browser on any device. Salesmen usually use a tablet in the showroom, and there is a desktop app for the office.
See it on your own screen.
A thirty-minute demo, on your screen or in your showroom if you prefer. Live within two business days of signing up.
